How to Configure Invite Emails in BuddyBoss

Introduction
Configuring the email invites system in BuddyBoss allows you to customize the content of emails sent to users

Enabling Email Invites and Emails

Step 1. Enable Email Invites:

  1. Go to your WordPress dashboard.
  2. Navigate to BuddyBoss > Components.
  3. Locate and enable Email Invites.

Configuring System-Generated Email Invites

Step 1. Locate Email Templates:

  1. Go to BuddyBoss > Emails.
  2. Find the template titled Invitation from [Inviter Name] to Join [Site Name].

This is the default email template sent by the system when an invite is generated.

Step 2. Understand Email Tokens:

  1. Email tokens are placeholders used to personalize emails automatically.
  2. Common tokens for email invites include:
    • {inviter_name} – Displays the name of the person sending the invite.
    • {site_name} – Displays the name of your site.
  3. Tokens are used within the email template to automatically pull relevant data, like the inviter’s name and site URL.

Step 3. Edit Email Content:

  1. Click on the template Invitation from [Inviter Name] to Join [Site Name] to edit.
  2. Customize the email subject and body content while preserving the tokens to maintain personalization.
  3. Ensure you keep tokens like {inviter_name} and {site_url} to make the email informative and functional.
  1. Click Update to save the email template.

Allowing Members to Customize Email Content

Step 1. Enable Customization Options:

  1. Go to BuddyBoss > Settings > Invites.
  2. Enable Allow members to customize the subject and Allow members to customize the content.
  1. This allows users to modify the subject line and body of the email when sending invites.

Step 2. Customize and Send Invites:

  1. Go to the frontend of your BuddyBoss community.
  2. Navigate to Invites > Send Invites.
  3. You will now see options to edit the Email Subject and Email Content before sending.
  1. The default content reflects the system template but can be overwritten by the user.
  2. Click Send Invites to deliver the customized email.

Reverting to Default Email Templates

Step 1. Reinstall Default Email Templates:

  1. If you wish to reset any changes made to the email templates, go to BuddyBoss > Tools.
  2. Navigate to the Repair Community.
  3. Click Reset Emails and then click the Repair Items button.
  1. This action will erase any customizations and restore all email templates to their original defaults.

Troubleshooting & FAQs

Q: Why are the tokens not displaying correctly in the email?
A: Make sure that the tokens are not altered or removed from the template. They must be written exactly as they appear in the documentation (e.g., {inviter_name} and {site_name}).

Q: How can I restore the default email content if I make a mistake?
A: Go to BuddyBoss > Tools > Repair Community and click Reinstall Emails. This will revert all email templates to their original settings.

Q: Can users always customize the content of invites?
A: Users can only customize the content if Allow members to customize the subject and Allow members to customize the content are enabled in BuddyBoss > Settings > Invites.
